Every app and URL Insightful sees in a foreground window gets bucketed into one of three categories: Productive, Neutral, or Unproductive. The classification is set per-organization by an admin, not per-team or per-role. Insightful ships with a default classification library, and the defaults are where the trouble starts.

Insightful’s 70/100 score reads like this: Screenshots are off by default at the agent level, but admin can enable them with no platform-enforced employee consent step, that costs points on Axis 1. Employees can be given a personal dashboard view (“Self-Serve”), but it’s not on by default. Login banner is configurable but not mandatory. Data retention defaults to 90 days for screenshots and 12 months for app/URL logs, which is reasonable but not minimal. Third-party data sharing is limited to operational analytics, Insightful does not appear to sell or share data, and is not training ML models on customer data per their public privacy policy.

ActivTrak wins this rubric (81/100) because screenshots are explicitly off-by-default and admin-enabling requires a deliberate flow. ⚠️ The Mac Uninstall-Reinstall Tax

Per Insightful’s own help documentation, updating the Insightful agent on macOS requires uninstalling the existing version and reinstalling the new one. Windows gets in-place updates. If you run a Mac-heavy team (design, engineering, leadership), budget for IT overhead on every agent update cycle. Hubstaff and ActivTrak both ship in-place Mac updaters and don’t have this friction.

For a 50-seat rollout we saw the following real-world deployment timeline: Windows seats finished in under 15 minutes total via GPO.
