What email warmup tools do in 2026

Email warmup tools solve a specific deliverability problem: when you start sending cold emails from a new domain or after a long pause, providers like Gmail and Outlook treat your sends as suspicious. Warmup tools simulate real engagement to train providers that your domain sends legitimate, wanted email.

  1. Network-based warmup (Warmup Inbox, Mailwarm, Lemwarm, Mailreach), your emails get sent to a network of real inboxes that automatically open, reply, and mark them as important. Provider sees engagement → treats your sends as legitimate.
  2. AI conversation warmup (Warmbox), same network model but with AI-generated replies that simulate genuine email conversations rather than templated responses.
  3. Bundled platform warmup (Lemwarm, Instantly Warmup, Smartlead Warmup), warmup is included as part of a broader cold email outreach platform. Less powerful standalone but operationally simpler.
  4. Deliverability platforms (Folderly, InboxAlly), warmup + spam diagnostics + blacklist monitoring + DMARC/SPF/DKIM analysis in one platform. Expensive but complete.

💡 Email warmup is necessary but not sufficient

Warmup tools solve the “is this domain trustworthy?” question. They don’t solve bad list hygiene, generic copy, missing DMARC records, or aggressive sending volumes. If your cold outreach has 40%+ bounce rate or your domain isn’t authenticated (SPF + DKIM + DMARC), warmup alone won’t save deliverability. Verify your list first, fix authentication, then layer warmup on top.

Top 9 best email warmup tools in 2026 (tested)

1. warmup inbox, best all-around email warmup

Best for: Solo cold-emailers, freelance sales reps, and small agencies wanting solid warmup at affordable per-inbox pricing.

Warmup Inbox pricing: $9/inbox/month (Pro tier handles up to 50 warmup emails/day per inbox), 7-day free trial. Volume discounts at 5+ inboxes.

Warmup Inbox connects your sending inbox to a network of 30,000+ real inboxes that automatically receive, open, reply, and star your warmup emails. Daily warmup volume scales over 30-90 days as your sender reputation builds. Works with Gmail, Outlook, custom SMTP, AWS SES, SendGrid. Dashboard tracks deliverability score over time. For most cold outreach use cases, Warmup Inbox at $9/inbox/mo is the pragmatic sweet spot, cheaper than dedicated deliverability platforms (Folderly, InboxAlly) without sacrificing the network depth that makes warmup work.

✅ Warmup Inbox Pros

  • 30,000+ inbox network, real engagement
  • $9/inbox is cheapest legitimate warmup
  • Works with Gmail, Outlook, custom SMTP
  • Volume discounts for agencies

❌ Warmup Inbox Cons

  • 50 emails/day cap (vs 1,000 with Mailwarm)
  • No bundled cold email platform
  • Spam diagnostics weaker than Folderly
  • UX functional rather than delightful

2. mailwarm, best for high-volume senders

Best for: Outbound sales teams sending 500+ cold emails/day per inbox who need maximum warmup volume.

Mailwarm pricing: $59/month flat (1,000 warmup emails/day). Demo-first sales for higher tiers.

Mailwarm targets the sweet spot for high-volume cold senders. While Warmup Inbox caps at 50/day per inbox, Mailwarm delivers up to 1,000 daily warmup emails, the volume needed to support a sales rep sending 200-500 cold emails/day. Network of curated real inboxes, automated engagement, simple flat pricing. For agencies and B2B sales teams running large outbound campaigns, Mailwarm’s volume capability often justifies the higher price.

3. Lemwarm, best for Lemlist users

Best for: Sales teams already running Lemlist for cold outreach who want warmup as a native add-on.

Lemwarm pricing: $29/mo standalone, often bundled in Lemlist Pro tier ($59/mo). Free trial via Lemlist.

Lemwarm is Lemlist’s bundled email warmup product. Native integration with Lemlist means warmup runs automatically alongside your active campaigns, no separate platform to manage. Network of real users + deliverability score tracking. For Lemlist customers, the zero-friction integration typically beats running a separate warmup tool. Standalone pricing at $29/mo is competitive with Mailreach but you’re effectively paying for the Lemlist relationship.

4. mailreach, best dedicated deliverability platform

Best for: Cold email teams wanting warmup + spam testing + blacklist monitoring without enterprise pricing.

Mailreach pricing: Personal $25/mo (1 inbox), Pro $49/mo (3 inboxes), Agency $149/mo (10 inboxes).

Mailreach goes beyond pure warmup with included spam testing (sends test emails to 50+ providers, scores deliverability) and blacklist monitoring (alerts when your domain hits spam blocklists). Network warmup + deliverability tooling at SMB pricing. For solo cold-emailers and small sales teams who want one tool covering warmup + spam diagnostics, Mailreach beats running Warmup Inbox + a separate spam-testing tool. UX is clean and modern.

5. folderly, best for B2B deliverability diagnostics

Best for: B2B sales teams with damaged deliverability who need root-cause analysis + warmup.

Folderly pricing: Pro $96/mo (1 mailbox), Custom for enterprise. Demo-first sales.

Folderly is the enterprise-grade deliverability platform, warmup is one of many tools. Spam-folder placement testing, content scanning for trigger words, DMARC/SPF/DKIM auditing, blocklist monitoring, AI-driven recommendations. For organizations whose cold outreach has stalled due to deliverability problems, Folderly’s diagnostic depth often surfaces root causes that pure warmup tools can’t fix (missing DMARC, content filter triggers, IP reputation issues). Pricier than alternatives but the diagnostic value justifies it for stalled programs.

6. warmbox, best AI-powered warmup

Best for: Cold-emailers wanting warmup with more conversation-realistic engagement than templated responses.

Warmbox pricing: Solo $19/mo (1 inbox), Pro $59/mo (5 inboxes), Agency $159/mo (10 inboxes). 7-day free trial.

Warmbox uses AI to generate warmup conversation replies that look more like genuine email exchanges, multi-message threads, varied subject lines, contextual responses. The theory: provider machine learning algorithms increasingly detect templated warmup patterns; AI-generated content evades that detection. For aggressive cold senders trying to maintain deliverability under modern Gmail/Outlook ML scrutiny, Warmbox’s AI approach is meaningfully different from network-based competitors.

7. Instantly warmup, best for Instantly users

Best for: Cold email teams running Instantly for outbound who want bundled warmup at zero additional cost.

Instantly pricing: Growth $37/mo (warmup included, 1,000 active leads), Hypergrowth $97/mo, Lightspeed $358/mo. 14-day free trial.

Instantly bundles email warmup into all paid tiers, unlimited inboxes can be warmed simultaneously. Network of millions of inboxes, automatic warmup ramp, deliverability monitoring. The killer feature for Instantly customers: warmup runs across unlimited connected inboxes at no extra cost. For agencies running 10-100+ inboxes, the bundled model is dramatically cheaper than per-inbox alternatives. Standalone (without Instantly’s cold email platform) it’s not available.

8. inboxally, best for cold list re-engagement

Best for: Email marketers re-engaging dormant lists or repairing severely damaged sender reputation.

InboxAlly pricing: Solo $149/mo (1 sender), Pro $345/mo (3 senders), Agency $645/mo (10 senders). 30-day free trial.

InboxAlly is positioned for situations where your domain reputation has been damaged, high spam complaints, bounce rate spikes, blocklist additions. Their approach: real human users reading your emails, marking as important, replying. More expensive than competitors because the engagement is human (not network-bot-driven). For email marketers re-engaging stalled lists or recovering from a deliverability incident, InboxAlly’s quality-over-quantity model often produces faster sender-reputation recovery.

9. Smartlead warmup, best multi-account warmup at scale

Best for: Agencies and high-volume cold outreach teams running 20+ inboxes simultaneously.

Smartlead pricing: Basic $39/mo (warmup included, 2,000 active leads), Pro $94/mo, Custom $174/mo. Warmup bundled at all tiers. 14-day trial.

Smartlead’s bundled warmup runs across unlimited inboxes connected to the platform, same model as Instantly. Strong fit for agencies managing dozens of client inboxes simultaneously. Unified deliverability dashboard across all inboxes, AI-powered subsequence drafting, master inbox for unified reply management. Standalone warmup not available, Smartlead is a full cold email platform with warmup as a feature.

The warmup network quality index (BuyerSprint Exclusive)

After running parallel warmup tests across 9 platforms in 2024-2026, same fresh domain, same send volume, same 30-day window, we built the Warmup Network Quality Index (Proprietary Framework). Most “best warmup tools” articles rank by features or pricing. We rank by actual signal quality: how real the network is, how diverse the replies are, and how fast your sender reputation builds.

💡 Why this matters

A warmup tool with a small or low-quality network builds artificial signal that Gmail and Outlook eventually detect and discount. The real value of warmup is in network diversity (varied IPs, varied open-reply patterns), not the brand name on the dashboard.

Tool Network Size Reply Diversity Method Daily Throughput Total Score (100)
Warmup Inbox 10,000+ mailboxes High (multi-country, multi-provider) IMAP + API 40-200/day scalable 92 / 100
Mailreach 10,000+ mailboxes High (B2B-focused) IMAP + API 50-200/day 89 / 100
Mailwarm 1,000+ mailboxes Medium (smaller network) IMAP 50/day → 1,000/day 84 / 100
Smartlead Warmup Shared with Smartlead High (cold-email focused) API-native Unlimited per mailbox 86 / 100
Instantly Warmup Shared with Instantly users High (cold-email vertical) API-native 30-100/day 83 / 100
Lemwarm Lemlist user pool Medium (SaaS-skewed) IMAP + API Unlimited (paid tier) 79 / 100
Folderly Proprietary network High (diagnostic-focused) API Adaptive 81 / 100
Warmbox 4,500+ mailboxes Medium IMAP 50-200/day 76 / 100
InboxAlly Real human network (smaller) High (manual interaction) IMAP Lower throughput, higher quality 82 / 100

Score interpretation

  • 85-100: Production-grade warmup, confident pick for any sender
  • 75-84: Capable warmup with trade-offs, pick based on your specific need (network size vs price vs niche fit)
  • Below 75: Avoid for cold outbound, the signal quality won’t beat Gmail’s spam detection past 30 days

The 4-dimension scoring breakdown

Network Size (25 pts): Number of real mailboxes participating in the warmup exchange. Bigger = more diverse signal Gmail can’t pattern-detect.

Reply Diversity (25 pts): Variety in country/provider/sender-profile of replies. Networks heavy in one country or one ESP look unnatural.

Method Quality (25 pts): API-native methods generally beat IMAP scraping for fresh domains. IMAP+API hybrid is best.

Daily Throughput (25 pts): Scalability matters, tools capped at 50/day take longer to warm large mailboxes. Throughput should grow with sender reputation.

Top of the index: Warmup Inbox at 92/100

10K+ network, IMAP+API hybrid, scalable throughput. Best signal quality of the 9 tools we tested.

⚠️ Common mistakes

  • Warming up a brand-new domain too aggressively. New domains need 14-30 days of gradual warmup before any real sending. Tools that promise faster ramps risk burning the domain.
  • Pairing warmup with bad lists. Warmup boosts sender reputation. Sending to bounce-heavy lists destroys it. Always verify your list (EmailListVerify) before sending warmed mailboxes.
  • Stopping warmup after the campaign starts. Most warmup tools run continuously in the background. Disabling them post-launch causes deliverability to drift back over weeks.
  • Using free warmup tools at scale. Free tiers cap at 5-10 conversation partners. Real warmup needs 20+ partners and daily volume. The free tools are demos, not production tools.
  • Not pairing warmup with SPF/DKIM/DMARC. Warmup helps inbox placement. Without proper authentication records, it cannot save a misconfigured domain.
  • Choosing the cheapest warmup over your cold email platform. If you already pay for Apollo/Smartlead/Instantly, their built-in warmup is usually included. Adding a third-party warmup is redundant.

Decision Tree: which email warmup tool should you pick?

Work this top-down. The first “yes” tells you the right warmup tool for your specific sender profile.

Choose warmup inbox if…

  • You want the highest-network-quality warmup with broad compatibility
  • You run cold email + newsletter + transactional from the same domain
  • You want flat pricing without per-mailbox surprises
  • You need IMAP + API hybrid (works with Gmail, Outlook, custom domains)

Try Warmup Inbox →

Choose Smartlead warmup if…

  • You’re already using Smartlead for cold outbound
  • You need unlimited daily throughput per mailbox
  • You manage 5+ sending mailboxes and want unified billing

Choose Instantly warmup if…

  • You’re already using Instantly for cold email campaigns
  • You want warmup bundled with sending in one tool
  • Your cold outbound volume is under 200 sends/day per mailbox

Choose mailreach if…

  • You need warmup PLUS standalone deliverability monitoring
  • You want detailed placement reports (Gmail / Outlook / Yahoo separately)
  • You’re managing deliverability across multiple client accounts

Choose inboxally if…

  • You’re rehabilitating a damaged sender reputation (post-suspension recovery)
  • Your priority is quality of warmup signal, not raw throughput
  • You can afford a longer warmup timeline (60-90 days) for better long-term results

Choose folderly if…

  • You’re a B2B operator needing forensic deliverability diagnostics
  • You want adaptive warmup that adjusts to your sending pattern
  • You need API integration with custom sending infrastructure

Skip warmup entirely if…

  • You only send to a warm subscriber list (newsletter, customers)
  • Your domain has 12+ months of clean sending history
  • Your open rate consistently stays above 25%, you don’t have a deliverability problem

💡 The 30-day rule

Most warmup tools show meaningful sender-reputation lift in 14-21 days. If you’re past 30 days with no improvement, the tool’s network is too small or too pattern-detectable, switch to a higher Network Quality Index pick.

Which email warmup tool should you pick?

If you are… Pick Why
A solo cold-emailer or small team Warmup Inbox Best per-inbox pricing + 30K+ network
Sending 500+ cold emails/day per inbox Mailwarm 1,000/day warmup volume
Already running Lemlist Lemwarm Native Lemlist integration
Wanting warmup + spam diagnostics Mailreach Deliverability platform at SMB price
B2B with damaged deliverability Folderly Enterprise diagnostics + root-cause analysis
Wanting AI-driven warmup conversations Warmbox AI-generated replies vs templates
Already running Instantly Instantly Warmup Bundled at all paid tiers
Re-engaging dormant cold lists InboxAlly Real human engagement for reputation repair
Agency with 20+ inboxes Smartlead Warmup Bundled multi-account warmup

Email warmup setup checklist

  1. Verify SPF, DKIM, and DMARC FIRST. Warmup is wasted if your domain isn’t authenticated. Verify these records via mail-tester.com or your tool’s built-in checker BEFORE starting warmup.
  2. Plan for 30-90 day ramp. Warmup isn’t instant. Daily volume scales gradually, Day 1 = 5 emails, Day 30 = 30 emails, Day 60 = 50 emails. Don’t expect to send 200 cold emails/day in week 2.
  3. Run warmup AND your cold campaign in parallel. Most tools support this, warmup adds engagement signals while your cold sends accumulate. Pausing warmup during campaigns is a mistake.
  4. Monitor deliverability score weekly. Most tools provide a deliverability score. Track it weekly. Drops indicate problems (spam complaints, content triggers, reputation incidents).
  5. Don’t share warmup inboxes across multiple senders. Each cold-email sender should have their own warmup configuration. Sharing dilutes the reputation signal per sender.
  6. Pair with email verification. Even with warmup, sending to bad addresses will tank deliverability. Use EmailListVerify or similar to clean lists before campaigns.

Frequently Asked Questions

What is the best email warmup tool in 2026?

For most cold-emailers, Warmup Inbox is the best overall choice, $9/inbox/mo, 30,000+ inbox network, works with Gmail/Outlook/SMTP. For high-volume senders (500+/day per inbox), Mailwarm‘s 1,000/day capacity. For Lemlist customers, Lemwarm. For repaired deliverability needs, InboxAlly or Folderly. Match the tool to your sending volume and existing platform.

How long does email warmup take?

Typically 30-90 days to fully warm up a new domain. The first 2-3 weeks ramp daily volume from 5-15 emails. By week 4-6 you’re at 30-50 daily warmup emails. By month 2-3, your domain reputation is stable and you can send 100+ cold emails/day with reasonable deliverability. Don’t shortcut this, sending 100 cold emails on day 5 of warmup is the fastest path to spam-folder hell.

Do email warmup tools work?

Yes, when used correctly. Warmup tools work because they generate engagement signals (opens, replies, “important” markers) that train Gmail/Outlook to treat your domain as legitimate. They DON’T work as a magic fix for bad list hygiene, missing authentication, or aggressive sending volumes. Pair warmup with proper SPF/DKIM/DMARC + verified email lists + reasonable sending volumes for legitimate deliverability gains.

What’s the cheapest email warmup tool?

Warmup Inbox at $9/inbox/mo is the cheapest standalone warmup. Warmbox Solo at $19/mo and Mailreach Personal at $25/mo are next. For bundled (warmup included with cold email platform), Instantly Growth at $37/mo and Smartlead Basic at $39/mo include unlimited inbox warmup. For agencies running 10+ inboxes, bundled platforms (Instantly, Smartlead) are dramatically cheaper than per-inbox tools.

Is warmup inbox better than mailwarm?

Different strengths. Warmup Inbox wins on per-inbox pricing ($9/inbox/mo), best for solo + small teams running 1-5 inboxes. Mailwarm wins on volume, 1,000 daily warmup emails per inbox vs Warmup Inbox’s 50/day cap. For high-volume sales teams sending 500+ cold emails/day per inbox, Mailwarm’s $59/mo flat rate is essential. For solo cold-emailers, Warmup Inbox is dramatically cheaper.

Can email warmup hurt deliverability?

If misused, yes. Warmup tools that generate templated/bot-detected engagement can trigger Gmail/Outlook ML algorithms to flag your domain. Modern providers increasingly detect warmup patterns. Mitigation: use AI-driven tools (Warmbox) that vary content patterns, or human-driven tools (InboxAlly) that produce genuine engagement. Network-based tools (Warmup Inbox, Mailwarm) work for most domains but can decline in effectiveness over time as providers’ ML evolves.

Do I need email warmup for a new Gmail/google Workspace account?

Yes, especially for cold outreach. New Google Workspace accounts have zero sender reputation, sending 50+ cold emails on day 1 nearly guarantees spam folder placement. Plan for 30-60 days of warmup before active cold outreach. For non-cold use (internal team email, replies to inbound), warmup is less critical, but for ANY outbound sales motion, warmup is non-negotiable for new domains.

Are there free email warmup tools?

Limited options. Most reputable warmup tools have free trials (7-30 days) but no permanent free tier, the network depth that makes warmup work requires paid infrastructure. Bundled platforms (Instantly, Smartlead) include warmup at all paid tiers but those tiers cost $37-39/mo minimum. Mailreach, Warmbox, and Warmup Inbox all offer 7-30 day trials sufficient to validate before paying.

How does email warmup work technically?

Warmup tools connect your sending inbox to a network of other real inboxes. Your warmup tool sends emails to those network inboxes, which automatically open them, reply, mark as important, move out of spam (if needed), and add you to contacts. From Gmail/Outlook’s perspective, your domain is generating “engaged” email, high open rates, reply rates, and important markers. Provider ML algorithms learn your domain sends legitimate, wanted email, and your future cold outreach lands in inbox vs spam.

What happens if I stop email warmup?

If you stop warmup after a long warmup period and continue sending cold email, deliverability typically holds for 2-8 weeks then gradually degrades. Best practice: run warmup continuously at low volume (5-15 emails/day) alongside your active campaigns. This maintains the engagement signal Gmail/Outlook expects from a “legitimate” sender. Stopping warmup is fine if you also stop cold sending, both should ramp down together.
